Executive Assistant
The Executive Assistant will provide executive and personal support to our highly creative President / Chief Creative Officer of a busy entertainment advertising agency based in Hollywood. This role requires strong organization, problem solving ability, stellar communication, and the ability to balance priorities in a fast-paced creative environment while utilizing the utmost discretion. This person plays an important role in developing and furthering relationships with employees, clients and contacts and serving as a dependable liaison. 

	•	Manage an active calendar of business and personal meetings while ensuring schedules are followed and respected 
	•	Manage daily email organization and dissemination of information
	•	Monitor and facilitate all tasks from emails while maintaining discretion and confidentiality 
	•	Ability to anticipate and understand needs and proactively take ownership of personal duties before being asked  
	•	Keep Executives well informed of upcoming commitments and responsibilities
	•	Act in a "gatekeeper" role to create win-win situations for the Executives’ time that facilitate their ability to effectively lead the company
	•	Represent the Executives’ offices with professionalism and create a welcoming environment
	•	Follow up with both business and personal contacts and support the cultivation of ongoing relationships
	•	Maintain contact databases
	•	Provide a bridge for smooth communication with Senior Management teams, internal departments and others on matters related to Executives’ initiatives while demonstrating leadership to maintain credibility and trust
	•	Manage travel arrangements
	•	Attend meetings and listen in on phone calls as needed to take notes, organize, and identify any action items needed
	•	Assure daily needs are met including ordering lunches regularly
	•	Work on a variety of business and personal special projects such as planning events, entertainment, dinners, gift buying, etc. 
	•	Use sound financial judgment when purchasing items, planning events, or coordinating travel by independently researching best deals and negotiating prices 
	•	Prepare expense reports

	•	2+ years of Executive Assistant experience, with experience to high-level executives in the entertainment industry preferred
	•	Have a 'can-do' attitude, be hard working and resourceful
	•	Highly organized and skilled in time management
	•	Flexibility to work additional hours when necessary
	•	Excellent familiarity with MS Office Products (Excel, Word, Outlook)
	•	Mac savvy
	•	Be a clear and concise communicator
	•	Be an excellent brand representative
	•	Enjoy a fast paced creative environment with ever changing priorities
